SUMMARY The accounting and procurement assistant will assist the Director of Finance & Administration and the Director of Production in several daily duties and projects. The accounting and procurement assistant will primarily and help to ensure that our bakery operation has a constant supply of raw materials. This position will work primarily in an administrative capacity to the Director of Production such as scheduling material purchases and deliveries, verifying current inventory and Q&A daily documentation are performed in a daily basis. In addition, in assisting the Director of Finance and Administration on keeping up with product cost analysis, Q&A process write ups, heavy excel based projects, and any accounting projects as needed. ESSENTIAL DUTIES AND RESPONSIBILITIES •Schedule purchases, arrivals, and working with vendors to schedule shipping and delivery times. •Review and place purchase orders after approval has been received by Director of Production. Carefully checks purchase orders for accuracy, completeness and clarity. Must verify that product information, shipping information, cost and delivery dates are all correct before obtaining authorization to place an order. •Be present to receive any orders and verify that the correct items and amounts have been delivered. •Work with the accounting payable staff on providing all receiving documentation on a daily basis. Work with the warehouse lead to ensure product is properly stored. •Maintain and verify current inventory levels and keep records to prevent inventory gaps. Notate and order when inventory is low in plenty of time to ensure no delays of products happen. •Work with both the accounting and operations department to ensure not only we have the proper quantities for inventory, but we have analyzed and purchase for the best competitive rates on raw materials. •Responsible for daily inventory count due to the Director of Productions. •Responsible for monthly inventory counts due to Director of Finance and Administration for financial review. •Keep all the SOP and GMP's up to date. •Assist with the creation of forms for Administrative, QA, Accounting, and Production as needed. •Review of batch records for errors and completeness. •Maintain and issuance of batch records and packaging line batch records as required to maintain current GMP compliance. •Assist Director of Finance and Administration with upcoming ERP projects or as on different projects as needed. •Assist the accounting and production team with the smaller problems arise in the course of a day. •All other duties as assigned. The requirements listed below are representative of the knowledge, skill, and/or ability required. EDUCATION and/or EXPERIENCE •Bachelor's Degree in accounting, business administration or similar area preferred. •Strong knowledge of Microsoft Office Suite (Word, Outlook, Excel, PowerPoint) and Acrobat (PDF) documentation systems. MUST BE AT LEAST INTERMEDIATE OR ADVANCE IN EXCEL. •ERP implementation experience, a plus. •Experience in in Food industry highly desirable. •Experience with document control, and QA support of manufacturing a plus. •Able to work independently and without supervision and ability to multi task between two upper managers. •Collaborative working style. Demonstrates professionalism, cooperation and willingness to support team and company priorities. •Well-developed interpersonal skills. Ability to get along with diverse personalities. •Highly developed analytical and problem-solving skills to identify problems and work across functional areas for resolution Computer keypunch experience.
